Key Concepts
- Parametric memory: What the model knows from training, stored in its memory rather than looked up.
- Retrieval: The step where the AI reads live web pages while answering instead of relying only on training.
- Query fan-out: The habit of expanding one user prompt into several background searches before answering.
- Passage retrieval: Fetching a specific chunk of a page rather than the whole page.
Quick Reference
How often retrieval fires
- About 18% of ChatGPT conversations trigger at least one web search (US English-language users, three-month period).
- Most of the time, the model repeats what it absorbed in training and does not read your page.
OpenAI crawlers
GPTBot: collects training data. Blocking it keeps pages out of training but does not remove you from ChatGPT’s answers.OAI-SearchBot: builds the search index behind ChatGPT’s answers. Allow this one if you want to be cited.ChatGPT-User: fetches a specific page when a user or action requests it.
Check your robots.txt
- Look for forgotten blocks from 2023. Pages on a blocked bot get no bot traffic and cannot influence answers, however good the content.
- A block on
GPTBot alone is fine. A block on every OpenAI bot also catches OAI-SearchBot.
Three places retrieval can drop your page
- Fan-out: Engines run about 1.4 to 2 searches per prompt run (Profound analysis of 10,000 prompts, similar across all three engines). Your page must match the background queries, not just the prompt.
- Result selection: The engine sees only the URL, title, and snippet before deciding whether to open your page over a dozen similar ones.
- Passage selection: It reads a chunk, not the whole page, so each section should stand on its own.
Case study: Optro (formerly AuditBoard)
- Problem: Engines kept using the old name because it lived in parametric memory. The new name could only arrive through retrieval.
- Fix: Built an Agent and ran it across the content library, updating 31 articles in one week. The same work previously took weeks to months.
- Result: Citation share for governance, risk, and compliance prompts rose 70%.
- Note: Retrieval is uneven. Enterprise risk articles were cited within two days, while others published the same way were still uncited a month later.
Remember: Stop asking whether AI knows about you. Ask whether it can reach you when it goes looking.
